This document sets out how Tech-Knowledge Services Pty Ltd (ABN 61 138 616 592, herein referred to as “Tech-Knowledge”) collects, stores and uses Our users’ data within the EIDO system. We receive information from You (the user of EIDO) in many different ways, including, but not limited to: sales calls with you; information you enter into EIDO via a web app; and, information you enter into EIDO via a mobile application. When you view, use or otherwise access EIDO You are consenting to Us using your data to supply You with the services You request.
We respect your right to privacy and the sensitivity of the data you provide to Us. This document is designed to inform You about how We manage Your information to both provide the service You request and to respect Your privacy.
Information We Collect and Use
This section outlines the data we collect and when we collect such information.
Company information – During Our sales processes and configuration of Your Instance of EIDO, We will collect information about Your organisation to perform relationship management, invoicing and for communication purposes. This information includes: registered business name; an Australian Business Number (ABN), Australian Company Number (CAN) or Australian Registered Business Number (ARBN); Your organisation’s email address; Your organisation’s phone number; Your organisation’s facsimile number; Your organisation’s physical and postal addresses; and, Your organisation’s primary contact person and their phone number, facsimile number and email address.
Personal information – As a user of one or more Instance of EIDO, We will collect some or all of the following information about You to provide you with the correct level of service: Your title and full name; Your job title; Your landline and mobile phone numbers; Your facsimile number; Your email address; Your selected username; and, Your password. The client purchasing an EIDO subscription from Us may choose to also gather and record further information. Information collected by Our clients is beyond Our control, but We do extend the same level of privacy protection to this information as with all other personal information.
Job data – If You record a job in EIDO, You choose to provide to Us information relevant to Your business’ work. As We provide You full control over what You choose to record in EIDO, what We store for You will vary, but will always include: unique job identifiers; customer information; address data; and, job-specific information.
Pricing, sales and invoicing data – If You choose to use the Resourcing and Invoicing features of EIDO, You are also providing Us with the following data: goods and services costs to Your organisation; Your businesses pricing for goods and services charged to Your clients; versions of invoices and quotations for individual job records; and Your billing information in addition to information collected in the company information section, including ABN/CAN/ARBN, physical and postal addresses, payment term information and Your company’s logo.
Consent information – If You use the Consent module, You provide Us with the following information: individual address information; data pertaining to access rights for physical properties You serve; and, historical records of consent.
How We Use Your Data
We will work to continuously protect Your information and keep it private. To deliver the EIDO system and related services, We need to store, access and transmit information. This section outlines describes how information We collect and store is used. It is important that You understand that You own the data you input into EIDO.
EIDO System – We retrieve information You have provided to Us in all of the areas discussed in Information We Collect and Use (within this document) to show You job, address, user, pricing, invoicing and consent information and other features relevant to Your user account and organisation’s EIDO Instance.
Support – If You make a request to Us for support services, We may require access to Your account or EIDO Instance. In this case We will see information You or Your users have stored in EIDO. Only authorised support personnel are permitted to undertake this task and all actions are logged in Your support request record.
Invoicing – We will use the information provided under the company information section to send invoices to Your nominated accounts manager of EIDO client administrator.
Communication – We will use Your nominated email address (as described by company information or personal information) to contact You with important information pertaining to Your use of EIDO, including, but not limited to: emails notifying You of new information in Your organisation’s EIDO Instance; emails informing You of system changes or upgrades; and emails informing You about system down-time.
Legal compliance – We may be required to disclose your information in the case a law enforcement agency requests access under a Queensland State, New South Wales State or Federal law or court order. Examples where such legal compliance access may be required include: cases where Your organisation is suspected of committing fraud; and, instances where You are suspected of committing a crime.
Changes to this Policy
We may, from time to time, change Our Privacy Policy to reflect changes to how We collect, store, use and manage your information. It is Your responsibility to remain up to date with the Privacy Policy. Tech-Knowledge will inform You or Your organisation that an update to the Privacy Policy has occured. This service is provided as a courtesy only. By continuing to use the system after We publish an updated Privacy Policy, You agree to be bound by these updated Privacy Policy.
